PRODUCTIVITY THROUGH USAGE OF EMAIL VIA LOTUS SMART NOTES: CASE STUDY OF MESINIAGA BERHAD


Mesiniaga is celebrating its 25th Anniversary. As a strategic intend of positioning itself as a front runner in the IT industry, Mesiniaga hopes to achieve its vision i.e. 'Malaysian IT Partner of Choice'. For that, exciting gaps need to be established so that the corrective measures can be executed to transform the AS-IS to the desired state i.e. TO-BE. Thus, transformation is imperative. Being in a competitive business environment, Mesiniaga has to ensure that it sustains a growth at least 15% per year to remain competitive and relevant in the industry. To achieve that, the Managing Director has emphasized the need for employees to be more productive. One of the actions taken by the management team was to invest on Lotus Smart Notes emailing system. This is done with the expectations to increase productivity, effectiveness in the communication, work process efficiency and enhance opportunity for innovation. At present, the Managing Director believes that many employees are spending too much time on unproductive emails which could cause significant down fall in productivity level among employees at Mesiniaga. He is also concern that due to the lack of training with regards to use email effectively has also led to poor communication and more time taken to complete jobs. References were made to literature review provided by extinguished scholars in field of management to gain in-sight on related issues pertaining to email management, cost benefit analysis, productivity, technology enhancement, capacity building, culture management and policy making. Guided with the knowledge gained from the readings, a conceptual framework was designed to provide the overall picture of the intended research work to be carried out. This allowed the researcher to embark on a study to see if the following independent variables i.e. individual skills, training received, network infrastructure, database sharing, policy development and departmental culture would have positive relationship with achieving higher productivity through the usage of email via Lotus Smart Notes. 160 employees of Mesiniaga participated in the study. The data were analysed using SPSS version 16. Various analyses were performed diligently using normality test, factor analysis, reliability test, correlation analysis, and mean test in search for the answers. Some thorough discussions were carried out to justify the detail rationales of the outcomes. Conclusions were made to form basis of judgment. In the end, only two out of six hypotheses were accepted. They were individual skills and policy management. Recommendations for future research work were also given. Apart from that limitations to the studies were also been acknowledged. All the objectives of the study have been achieved. The research finding would certainly provide good avenues to Mesiniaga management team to do a post-mortem with regards to the investments and initiatives that they have taken to inculcate good communications and business productivity by using emails via Lotus Smart Notes. At the same time too, this piece of research work would be adding value to the current body of knowledge in the field of management.
